Approving your events in order
The web forms for preregistered scheduled program events show a number at the end of the URL based off of the order in which you approved those events for online sales. For example, let's say I have five events called "Annual Summer Camp" that take place on August 23 at 1:00, 1:30, 2:00, 2:30, and 3:00.
  1. Go to Web > Manage Event Registration Forms
  2. Locate the events on the list
  3. Mark the check box next to each of the events on that day, then click the "Approve select events for website" button User-added image
  4. Click the drop-down next to each event to see the URLs
  5. Note that the end of the URL contains the event name, date, and a number in the correct chronological order. It should look similar to this:
1:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018
1:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-2
2:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-3
2:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-4
3:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-5

Fixing events that were approved out of order
If you click to approve your events in a different order, the number at the end of the web form URL will show in that publishing order. Let's say the events haven't been approved yet, and you approve some of the later events first, then go back and approve the earlier events in the day.
  1. Go to Web > Manage Event Registration Forms
  2. Locate the events on the list
  3. Mark the check boxes next to some of the events on that day and click "Approve selected events for website". In our example I will mark the check boxes next to the 2:00, 2:30, and 3:00 events User-added image
  4. Now mark the check boxes for the earlier events and click "Approve selected events for website". In our example I will mark the check boxes for the 1:00 and 1:30 events
  5. Click the drop-down next to each event to see the URLs
  6. Note that the end of the URL contains the event name, date, and a number in the order in which they were published. In this scenario it should look similar to this:
1:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-4
1:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-5
2:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018
2:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-2
3:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-3

If your events have been published out of order, you can exclude them all for online sale, then approve them again all at once. That should renumber them in chronological order.
  1. Go to Web > Manage Event Registration Forms
  2. Locate the events on the list
  3. Mark the check boxes next to each of the approved events for the program on that day and click "Exclude selected events from website"
  4. Now mark the check boxes next to each of those events again and click "Approve selected events from website"
  5. Click the drop-down next to each event and notice that the URLs are now in chronological order

How to handle the web forms if you need to delete and add new events
If you need to delete and re-add the events in a program on a certain day for any reason, make sure to click "Exclude selected events from website" prior to deleting. If the events are currently approved for the web and you delete them, you are no longer able to use the same web form URLs. So let's say you have the five events from the sample scenario above and they are published like this numbered through 5:

1:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018
1:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-2
2:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-3
2:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-4
3:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-5

If you don't exclude those events from the web and just delete the events, then add five new events on the same day, when you approve those five new events for the web it will look like this with the numbering starting at 6:

1:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-6
1:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-7
2:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-8
2:30 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-9
3:00 - 5740spp3.blackbaudhosting.com/5740spp3/Annual-Summer-Camp-23Aug2018-10

Even though the original events using the web forms numbered through 5 were deleted, you can no longer use those URLs. It will start the numbering at 6 and up. That's why it's important to exclude the original 5 events prior to deleting them, so that those original URLs numbered through 5 will be available to use for the 5 new events that you add.

NOTE: If you have already deleted the original events while they were approved for web, you can rename the events to get the numbering to start back at the beginning.
  1. Go to Web > Manage Event Registration Forms
  2. Mark the check boxes next to each of the events and click "Exclude selected events from website"
  3. One at a time, click the drop-down next to each event and click Edit > Event
  4. Edit the name of the event and click Save
    • Note: Make sure that you rename each event consistently to the same new name
  5. Back on the Manage Event Registration Forms page, mark the check boxes next to each of the events again and click "Approve selected events for website"
  6. Click the drop-down next to each event to see that the new URLs start back numbering at the beginning
